VOS Travel Terms & Conditions

1. SUBMISSION AND PAYMENT OF A HOLIDAY

A submission takes place by signing the submission form or by filling out the submission form on our website. The invoice for a deposit and the final invoice will be sent to you by e-mail as a confirmation of the reservation. The agreement has not expired when the deposit or the total amount has not been paid by the participant. As a consequence there will be a cancelation cost. The deposit must be paid no later than 30 days before departure. The person whom submits with his or her signature for a holiday is responsible for the fulfillment of the commitments of all these persons. Each participant must know that he or she acts at his or her own risk.

2. THE PRICE YOU PAY
All prices on our website are per person including VAT. The prices were calculated with great concern in 2019, on November 1, according to the exchange rates at that time. We reserve the right to change the price in the event of currency fluctuations. If the increase is more than 10% of the global amount than you may cancel the booking without any costs. The amount already paid will be refunded. This cancelation must be in written and at least within 8 days after you received from us the notice of a price increase. A legal bail of €30,000 covers our group commitments according the terms of the royal decree of 30 June 1996. According to article 36 of the law regulating the contracts, travel organizing and travel mediation of the first of April 1994 and the regulatory decree of 25 April 1997, VOS Travel nv (lic A5423) is insured by the Europese Goederen en Reisbagageverzekeringsmaatschappij nv. (Tweekerkenstraat 14, 1000 Brussels) to fulfil its obligations to the traveller in the event of financial inability. This guarantee proposition is supported by Vlaamse Solidariteit Reisgelden, a department of Vereniging van Vlaamse Reisbureaus vzw. If a reservation takes place within 8 days before departure, there will be an extra cost of 15,00 per booking.

3. CHANGES MADE BY THE PARTICIPANT:
Each participant can replace him– or herself by another person when he or she pays an administration fee (mostly €50). When the participant wants to make major changes (i.e.: date of departure, destination, adjustments of the program, etc.), there will be a minimum administration fee of 50.

4. BOOKING OF FLIGHTS AND TRAIN TICKETS:
4.1 For each flight reservation by us there is a booking fee of €50 per person. Therefore you will be obliged to take a cancelation insurance and we need therefore also a copy of your identity card or passport.
4.2 VOS Travel cannot be held responsible for changes/ cancelations (and the resulting costs and consequences) of flights and trains ordered by the client.

5. CANCELATION BY THE PARTICIPANT:
Charges for when a subscription is undone by the participant (independent from the cancelation date):
- Cancelations up to 8 weeks before departure: 10% of the total amount
- Cancelations up to 4 weeks before departure: 50% of the total amount
- Cancelations up to 24h before departure: 80% of the total amount
- Cancelations less than 24h before departure: 100% of the total amount

You can cover the risk by taking a cancelation insurance.

6. CANCELATION OF THE CONTRACT OR CHANGES BY VOS TRAVEL NV:
VOS Travel reserves the right to fully or partly cancel the holiday when there are before or during the holiday events beyond our control, i.e. events that were not known or could not been known by VOS Travel before the selling of the holiday and in which case VOS Travel would not let continue the holiday. The participant will receive, the already paid amount, back. VOS Travel nv can make changes to the holiday program or change the accommodation after having sent the confirmation. The client will be immediately informed about these changes.

7. LATE PAYMENT:
In case of overdue payment there will be legally, and without a required put in default registered mail, from the invoice date a negligence interest of 1% per month. Each started month count as a full month.

8. TRAVEL DOCUMENTS:
The participant must possess, by departure and during the holiday, all the required documents. In case if the local requirement were not observed, all the occurring cost therefrom are fort the participant’ own expenses. One set of travel documentation per room is foreseen.

9. COMPLAINTS:
Complaints about the carrying out of the contract must be as soon as possible reported on spot and in written ( e-mail / fax ) to VOS Travel so that we can look to solve the problem as soon as possible. Therefore the participant has to report the problem, in this order, to the hotel, the travel agent and thereafter directly to the travel organizer: VOS Travel. The traveler must in any case give the chance to VOS Travel to help solve the problem during your holiday. We cannot accept any complaints afterwards when there was no complaint made to us during the holiday. All our roadbooks were drawn up with many care. If the problem has not been satisfactory resolved on the spot, the participant can send a complaint, no later than a month after the end of the holiday, to the travel agent or the travel organizer by a registered mail.

10. TRAVEL DISPUTE COMMISSION (GESCHILLENCOMMISSIE REIZEN):
10.1. A dispute occurs when a complaint could not be amicably settled or the problem has not been solved within four months after the holiday or from the planned departure date when the travel agreement has never been executed.
10.2 Each dispute arisen after the conclusion of the travel agreement is treated exclusively by the Travel Dispute Commission except in case of physical injuries.
10.3 The treatment and judgment happens accordingly to the regulations of the judicial code of arbitration. The judgment is binding for both parties and without any possibility of higher appeal. A small fee is due for the treatment of a dispute as mentioned in the Dispute Regulation.
10.4 The use of these general terms and conditions imposes the acceptance of all regulations and decisions determined by the Geschillencommissie Reizen vzw (Travel Dispute Commission) in particular the Dispute Regulation.
